Retail-Ready Packaging & Labelling for Phone Cases — The Importer’s Checklist
Packaging problems cost more than price differences
Importers spend hours negotiating the unit price and almost no time specifying packaging. Then the first container arrives and the problems surface: no barcode for the retailer’s system, no country of origin marking, polybags too thin to survive a pallet, master cartons that do not stack to a standard pallet height. Each of those becomes a rework cost at destination — and rework at destination costs several times what it would have cost at the factory.
This guide sets out the packaging and labelling checklist that importers of phone cases should agree in writing, before production starts.
Layer 1: the individual product pack
| Decision | Options | What to think about |
|---|---|---|
| Primary pack | Polybag, OPP bag with header, blister, printed retail box, plain kraft box | Blister and printed boxes need tooling and minimum run quantities. Polybags are cheapest and most flexible for mixed orders. |
| Bag thickness | 0.03 mm to 0.08 mm | Below 0.04 mm the bag tears in transit and in the retailer’s hands. Most importers settle at 0.05 mm or above. |
| Retail hang hole | Euro slot, sombrero, none | If your retail channel uses pegboard, the hang hole must be specified. It cannot be added later economically. |
| Insert card | None, branded card, model compatibility card | A model compatibility card substantially reduces retail returns and “wrong model” complaints. |
If you are selling online, the primary pack also has to survive being photographed and shipped again by the retailer. If you are selling to physical retail, the pack has to hang, stand or sit on a shelf without looking cheap next to the incumbent brand.
Layer 2: barcodes and identification
- EAN / UPC: if your retailers scan at the till, each sellable SKU needs its own barcode. That means one barcode per model per colour per style — not one barcode per style. This is the single most underestimated packaging line item: a 200-SKU order can need 200 unique barcodes.
- Ask for barcode verification, not just barcode printing. A printed barcode that fails the retailer’s scan test is the same as no barcode.
- Inner and master carton labels: SKU, description, quantity, colour, model, net/gross weight, carton number (e.g. 3 of 24) and country of origin.
- Model marking on the case itself or its bag: with 27+ device models in a range, unlabelled pieces create picking errors that become customer complaints.
Layer 3: country of origin and compliance marking
Destination markets impose their own marking requirements, and the responsibility normally sits with the importer of record — that is you, not the factory.
- Country of origin: “Made in China” marking is required in many markets. Whether it must appear on the product, the pack, or both depends on the destination’s rules.
- Material and care information: increasingly expected on consumer packaging, and mandatory in some channels.
- Small parts and warning text: if the pack could be opened by a child, warning text requirements may apply.
- Recyclability and packaging-waste markings: the UK and parts of Europe are tightening rules on plastic packaging and labelling. Check what your destination currently requires.
- Language: Buyers in the UAE, Saudi Arabia, Oman, Jordan, Kuwait and Qatar generally expect Arabic alongside English on the pack or at least the master carton and invoice.
Ask the factory for a packaging specification sheet — dimensions, material, thickness, artwork file and barcode data — and keep it as the reference for every repeat order. Without it, the second shipment never matches the first.
Layer 4: master cartons and pallet fit
This is where importers lose real money, because master carton dimensions drive your freight cost and your warehouse labour cost at the same time.
- Pieces per carton: agree it explicitly. “About 200 pieces” is not a specification.
- Carton dimensions and gross weight: request them in writing. This is what your forwarder needs to quote sea versus air accurately.
- Pallet fit: standard pallets are 1200×1000 mm (Europe/Asia) or 1200×800 mm. Cartons that do not divide evenly onto a pallet waste 10–20% of your container cube.
- Stacking strength: cartons must survive being stacked several high in a container and in your warehouse. Double-wall corrugated is normal for export; single-wall is a false economy.
- Carton printing: shipping marks, SKU, quantity, side-up arrows and a carton sequence number make receiving dramatically faster and make shortages provable.
Layer 5: agree it before you pay the deposit
A packaging specification is only worth anything if it is fixed before production. The practical sequence:
- Ask for the factory’s standard packaging specification and a photo of a real packed unit.
- Decide your primary pack, thickness, hang hole and insert card.
- Confirm barcode requirements — artwork, symbology, size, placement, and who supplies the numbers.
- Confirm master carton dimensions, pieces per carton, gross weight and shipping marks.
- Request a packed sample — a real unit in the real retail pack, in the real master carton — before the production run.
- Put all of it in the order confirmation, not in a chat message.
Step 5 is the one importers skip and regret. A packed sample is cheap. Repacking a shipment at destination is not.
What to send a supplier so they can quote accurately
If you want a packaging quotation you can actually compare, send this list:
- Primary pack type and bag thickness
- Hang hole requirement
- Insert card: yes/no, artwork, size
- Barcode: yes/no, symbology, who provides numbers, placement
- Master carton: pieces per carton, max gross weight, shipping marks
- Destination country and whether the goods go to retail, e-commerce or distribution
- Any retailer-specific compliance requirement you have been given
