How to Read a Phone Case Wholesale Quote — Unit Price, MOQ, Incoterm and Hidden Costs
A quotation is a cost structure, not a number
Two suppliers quote USD 2.80 per piece for what looks like the same product. One is genuinely cheaper. The other has moved freight, packaging and tax outside the quoted line and will invoice you for them later. The difference is not the number — it is what sits inside it.
This guide breaks a phone case wholesale quotation into the lines that actually decide your cost, so you can compare suppliers on equal terms.
Line 1: the unit price — and its basis
Before comparing unit prices at all, establish three things:
- Price basis: is this FOB, FCA, DAP or DDP? A DDP price is always higher than an FOB price for the same goods, because it contains more. Comparing them directly is meaningless.
- Quantity tier: most suppliers publish tiered pricing. Confirm which tier the quoted price belongs to, and what happens if your final quantity lands one tier lower.
- Currency: if the quote is in a different currency from your selling currency, note the rate and whether it is fixed or reverts at invoice. Ask what buffer the supplier applies.
Quoted in different incoterms, two prices cannot be ranked. Ask both suppliers for the same basis before you judge either.
Line 2: MOQ — the number that decides whether you can start
MOQ is often quoted in a way that hides the real constraint. Ask specifically:
- MOQ per style, per colour, or per order? “MOQ 50” is ambiguous. MOQ 50 per style and colour means a ten-colour order may require 500 pieces.
- Can styles and models be mixed in one order to reach the MOQ? Mixing freedom is worth more to a new importer than a few cents off the unit price.
- Is there a lower MOQ for a first trial order? Suppliers who are confident in their quality usually offer a path to a small first order.
- What is the MOQ for custom packaging or custom branding? Custom printed boxes typically carry a much higher minimum than the goods themselves — at SendaFit, 5,000 pcs per style & colour.
Line 3: what the price includes — and what it does not
| Item | Often excluded even on “door” quotes |
|---|---|
| Freight and insurance | Frequently excluded on FOB/FCA; included on DAP/DDP |
| Customs duty | Excluded on DAP. Confirm explicitly on DDP. |
| Destination VAT / GST | Very often excluded, even on quotes described as all-inclusive |
| Customs clearance fees | Usually excluded; charged by the broker or courier |
| Barcodes and retail packaging | Usually excluded unless custom packaging is separately quoted |
| Test reports or certification copies | Usually available but may be quoted separately |
| Payment and bank charges | Sender-side charges may be on you depending on the bank |
The single most valuable question you can ask about any quote is: “What is NOT included in this number?” A supplier who answers that question precisely is usually also precise about production.
Line 4: payment terms and their real cost
Payment terms affect your cash flow even when they do not change the price. Some suppliers accept letters of credit, escrow or card payments; others work only on bank transfer.
SendaFit’s terms are deliberately simple and stated up front: T/T bank transfer only — full payment on smaller self-service orders, or a 50% deposit with the 50% balance before shipment on qualifying orders of 2,000 pcs or more. We do not accept card or wallet payments, and the reason is straightforward — card payments can be reversed after goods have shipped, which is a risk we are not willing to pass on to you in the form of a higher price. Here is the full explanation of why we work this way.
When comparing suppliers, ask:
- Deposit percentage and when the balance falls due
- Whether the balance is due before or after inspection
- Who bears the bank charges at each end
- What happens if a defect is found after the balance has been paid
Line 5: lead time — split into its two halves
“Lead time 25 days” is not a useful number on its own. Split it:
- Production lead time: from deposit received to goods ready. This is what the factory controls.
- Transit time: from collection to your door. Sea freight from China to Australia, New Zealand or the UAE, Saudi Arabia, Oman, Jordan, Kuwait or Qatar commonly runs several weeks; air is days but costs considerably more per kilogram.
Ask for both separately, and ask which one the quoted date refers to. Getting this wrong is one of the most common causes of a stock-out.
Line 6: the quality and claim terms
The last lines of a good quotation are the ones about what happens when something goes wrong. Look for:
- A stated quality claim window after delivery
- Whether defects are replaced, credited or refunded
- Whether pre-shipment inspection is permitted, and who pays for it
- What evidence is required for a claim (photographs, count, batch)
- A stated warranty period on manufacturing faults
If a quotation has no claim terms at all, you do not have a quotation — you have a price.
A comparison sheet you can reuse
Put each supplier in a column and fill every row. The supplier that wins on the total, not on line 1, is the one to buy from.
